Running a site with Park Visit Organizer
Five steps to get going, how the app works things out, and answers to common questions (version 1.0.0).
Getting started
Set up your site
Tap “Set up a site”, give it a name and start from a layout: two-paddock dog park, enclosed field, training ground or blank. Rename zones, change the checklist and the opening hours under Sites → Edit zones and checklist. Want to look around first? Tap “Try the example site”.
Walk your first round
On Today, tap “Start today’s round”. For each zone mark every check OK, Attention or Closed; add a note to problems. “Rest OK” fills what is left in a zone. Save – problems now appear as open issues.
Enter bookings as they come in
Bookings tab → Add booking: date, start and end, type, area (a zone or the whole site), name and contact. A red warning shows when the time clashes with another booking in the same area.
List your kit and supplies
Kit tab: add equipment with a condition and a check interval. Supplies tab: add what you use with a re-order level, then record purchases with the price, use and stock counts.
Hand over the log
More → Maintenance log and export: choose the period and create the PDF, or the CSV tables for a spreadsheet.
How it works
Open issues and fixes
For every zone and check, the latest word counts. A check marked Attention or Closed stays open until a later round marks it OK or you tap “Mark as fixed” and write what was done. The PDF log lists open issues and fixes separately.
How overlaps are worked out
Two bookings overlap when both are not cancelled, they are on the same day and their times cross in the same zone – or one of them books the whole site. A booking that ends at 11:00 and one that starts at 11:00 do not overlap. Overlaps can still be saved while you rearrange.
Equipment checks
The next check is the last check plus the interval (weekly, every two weeks, monthly, every three months). An item that was never checked is due straight away. Logging a “Good” check can clear the repair note.
Stock and costs
Purchases add to the stock, use takes it away and a stock count sets the level. Prices are entered as the total paid in pounds; the app works out the average price per unit, weekly use over the last eight weeks and how long the stock lasts at that pace.
Photos
Photos are picked with the Android photo picker, so the app only receives the photos you choose and needs no storage or camera permission. They are kept inside the app; a backup includes them only if you tick “Include photos”.
Search
Search covers all sites: names, notes and findings, booking names and numbers, kit and supplies. Use #tags such as #repairs and a date written like 18/10/2026.
Questions
How do I move everything to a new phone?
More → Backup and data → Create backup file, then save or share it. On the new phone use “Restore from a backup file” and choose Merge or Replace all.
I deleted something by mistake.
Right after deleting, tap “Undo” in the message at the bottom of the screen.
Can I remove the example site?
Yes: More → Backup and data → Remove example site. Your own sites are not touched.
Who can see the customer details I enter?
Only you, on your phone. The app has no internet access. Phone numbers and emails appear in an export only in the bookings CSV, and only when you create it.
